Here’s your all-in-one guide for Photo Day with Roman Coia Photographer, using the PhotoDay platform for easy viewing, ordering, and delivery.
What is PhotoDay?
PhotoDay makes picture day easy and convenient for parents!
No more paper order forms
No more waiting months for pictures
No more writing/sending in checks with your child!
Total customization, you select and purchase only the photos and products you love!
Simply view your child’s photos (and team photos) on your phone, tablet, or computer, apply your favorite photos to the products and packages you choose, and place your order.
Your order will ship directly to your doorstep. It’s really that easy!

Quick Start (TL;DR)
Register for Gallery Notifications: Scan the QR code on our Photo Day signs or text the league code (posted on-site & emailed by AYSA) to 90738.
Get Your Gallery Link: You’ll receive a text the moment your child’s photos go live.
Order on Your Phone or Computer: Buy packages or a-la-carte, choose poses, and check out.
Crop & Adjust: Use PhotoDay’s Crop Tool to fine-tune framing before you purchase.
How do I register to get my gallery link?
You’ve got three easy options—pick your favorite:
A) Text the code to 90738
Text the AYSA gallery code (posted at the fields and shared by AYSA) to 90738.
Follow the prompt to opt in.
You’ll get a notification text with the gallery link as soon as it’s ready.
B) Scan the QR code (on-site posters at registration table)
Open your phone’s camera, point at the QR code, tap the link that appears.
Enter your mobile number and child’s name/team if prompted.
You’re now subscribed to receive a text when images are published.
C) Use the gallery URL
Enter the gallery URL from your flyer/signs.
Input the access code if required and add your mobile number to receive updates.
Tip: Add your email inside PhotoDay for a backup notification. If you switch phones, you’ll still get the link via email.
When will photos be ready?
We’ll send the gallery as soon as images are edited and uploaded. You do not need to chase links—register once, and the link comes to you automatically.
How do I place an order (app or online)?
On your phone (recommended): - video at the top of the page is very helpful
Tap the gallery link in your text.
Browse individual and team poses.
Tap a photo → Shop.
Choose a package or a-la-carte prints/products.
Select pose(s) for each item (you can mix different poses in most packages).
Review crop previews (see cropping tips below).
Add to cart → Checkout. Enter shipping and payment.
On your computer:
Open the gallery URL from your text or flyer.
Add items to cart the same way, then checkout.
Many products offer instant previews so you can confirm the image and crop before purchasing.
How do I crop or adjust my selected images?
PhotoDay’s Crop Tool appears during product selection/preview.
Using the Crop Tool:
Pinch/zoom (mobile) or scroll/drag (desktop) to adjust.
Keep eyes and top of head comfortably inside the frame—don’t crop too tight.
Watch the aspect ratio (8×10 crops tighter than 5×7). If you love the full image, choose a product whose ratio fits it best.
Leave a little headroom for prints and frames.
For team photos, avoid cropping off edges of the formation, signage, or logos.
Color & simple adjustments:
If a product offers Black & White or Sepia, you’ll see it as an option.
Small exposure/white balance tweaks are handled by us prior to publishing.
Backgrounds & themes (if enabled):
If AYSA offers digital backgrounds, you’ll see a Backgrounds or Themes selector on eligible products. Choose your favorite and confirm the preview.
What if I have more than one player?
Register once per gallery code.
Use the tagging/face-find feature if available to surface your player’s images.
You can add items and packages for multiple players in one cart—just choose the correct pose per item.
What products are available?
Prints: 8×10, 5×7, wallets, etc.
Packages: Best value bundles for prints & digitals.
Digitals: Print-resolution files delivered via download link.
Gifts & Décor: Magnets, buttons, trader cards, banners (availability varies).

Shipping & delivery
Your order will ship directly to your home.
Estimated delivery is shown at checkout.
You’ll receive tracking info (where applicable).
Missed Photo Day / Make-Up Info
AYSA will announce any make-up session details.
Can’t attend your scheduled PhotoDay session time? Reach out and we will have make-up session slots you can attend.
What to wear for best results (quick tips)
Clean uniform, untucked jersey tucked if required by team.
** Club Travel Teams - Coordinate if you are wearing HOME or AWAY kits for your pictures.
Bring your ball, cleats tied, hair combed/neat off face.
Wipe off grass/dirt off your socces before your turn.
Arrive on-time to the check-in table and confirm your name/team name.
I didn’t get the text / my link doesn’t work
Double-check you texted the correct code to 90738 and are opted in.
Ensure your carrier allows short-code messages.
Try opening the link on Wi-Fi or another browser.

Coach & Team Manager Notes
Please arrive as a team 5 minutes before your slot.
Confirm spelling of player names and jersey numbers at check-in.
We will shoot all individual players at designated photo stations for speed.
All TEAM Pictures will be composited from single player photos. If you do not show up for PhotoDay you will not be in the team picture.

What is the difference between an access code and a verification code?
There are two kinds of codes you will come across when it comes to accessing your photos: access codes and verification codes. You might encounter both during your PhotoDay experience, but what exactly is the difference between them?
Access Codes
An access code is essentially the password to your photo gallery. It is set by the photographer and given out exclusively to the school, organization, and parents of the subjects of the photos. To gain access to a gallery, a customer can type in the given access code at galleries.photoday.io…
Or, if on mobile, they can text the access code to 90738, where we will immediately text back with a direct link to the gallery itself. If a customer has the PhotoDay app installed, it will open automatically and direct the customer to their photos. If not, their mobile web browser will open instead.
Verification Codes
Verification codes are used to confirm that it’s really you that’s about to log into your PhotoDay account and make purchases. It’s an extra security measure just to make sure you and your financial information are protected. PhotoDay associates your account with your phone number, so when you attempt to view your shopping cart while being logged out, we might prompt you to enter a verification code to help identify you.
We’ll send it via text message…
After which you can enter it on the verification code screen. Once you’ve done that, you will be able to view your cart, customize your items, and finally purchase your photos!
How does AdvancePay work?
AdvancePay is like giving yourself a gift card! You have the opportunity to purchase credit before picture day that you can apply to your order after picture day. If you're reading this, it's probably because your photographer is offering AdvancePay for your child's picture day. Lucky you!
Why should I purchase an AdvancePay credit?
Get a jump on your child's picture day when you purchase an AdvancePay credit. With AdvancePay, you may get to enjoy discounts, giveaways, or shipping offers that may not be available after picture day. The best part? You're not locked into any package! You can apply your credit after you see your child's photos to any products or packages that you like.
How do I purchase an AdvancePay credit?
You will receive a unique code for your child's picture day that you can text to 90738 and in return, you'll receive a link - or - your photographer may provide you with a direct web link. Either way, once you've clicked the link, you will see the option to purchase AdvancePay credits. Once you purchase the credit, the photographer may provide you with a coupon code to take advantage of the special offer they’ve set up for all the early birds! You can apply this coupon at the time that you place your photo order. Check out this visual step-by-step for more info.
Can I use my AdvancePay credit for more than one child?
Yes! You can apply your AdvancePay credit to more than one child as long as the galleries were photographed by the same studio.
**NOTE!
** You will need to order and check out with the same phone number used to purchase the AdvancePay credit.
** AdvancePay Credits expire 14 months from purchase.
I am having trouble viewing the AdvancePay offer when trying to access from my iPhone.
If you are having trouble applying your AdvancePay credit, please double-check the phone number with which you purchased the credit. Due to the way our ordering system works, and for the utmost security when making purchases, your information must be consistent across the board, otherwise, you will not be able to apply the purchased credit. If you did mistakenly enter a different phone number, please reach out to the team, where we will be able to correct it manually on our end!
What are my payment options?
PhotoDay accepts Visa, MasterCard, Discover and American Express. You can also pay with ApplePay and GooglePay. Orders should be placed soon after picture day, as a gallery may have an expiration date set by the photographer.
If pre-purchased, your AdvancePay credits will show during checkout.
How do I order my photos on PhotoDay?
Step by Step Guide on Ordering
Can multiple photo poses be chosen for a single package?
One of the benefits of using PhotoDay is its flexibility in allowing you to choose which photos you would like on specific products. You can select multiple poses within the same package, right from your shopping cart. Here’s how:
Select a photo you wish to purchase and then add a package to your cart.
This will bring up a new window where you can fully customize your selected package.
You will then be able to go down the itemized list of all products in your package, being given options to alter the crop of your image, and also the option to swap the image for another in the gallery.
After you have selected the photo you wish to switch out, it will automatically replace the original photo within the product! You can then continue to swap out images throughout the package, customizing products to your liking with as many poses as there are products.
The gallery code expired - am I still able to order my child’s photos?
Gallery expirations are set up at the discretion of the photographer, and any orders that you would like to make after a gallery has expired will have to be done by directly contacting us using the phone or email in the footer of page.
